With thousands of citizens preparing to submit their forms, many are unsure of the process, from the type of photo required to what happens if an error occurs. Each form carries a unique QR code, making a duplicate nearly impossible, so filling it out correctly the first time is crucial.

What type of image is required for the form?

We advise citizens to attach a colored photograph with a white background to ensure clarity and avoid rejection. Officials say black and white photos are no longer acceptable.

What ink and language should I use to fill out the form?

As per the Representation of the People Act, electoral records in West Bengal are maintained in three languages - Bengali, English and Hindi in some areas. Voters can fill out the form in any of these languages without a problem. However, it is preferable to use Bengali or English, as it will be easier to verify the names later when the final lists are published, especially in areas where the list is not published in Devanagari (Hindi) script.

There are no strict guidelines for ink color, but blue or black ink is recommended for clarity and legibility.

What should you do if you make a mistake while filling out the form?

If an error occurs, correct it next to the error, and sign near the correction. Since each form carries a unique QR code for each voter, issuing a replacement form is not possible. Chief Electoral Office (CEO) officials said that two copies of the form are issued – if one is destroyed, the clean copy must be submitted to the PLO, while the voter keeps the other copy.

With over seven crore voters in Bengal, issuing duplicate forms would be “practically impossible”, CEO officials said.

Who is considered a “relative” or “connected person” for the purposes of linking to the voter list?

For the purpose of proving family ties in the voter list, blood ties are considered valid. These usually include:

– Paternal side: father, mother, paternal grandfather

– Maternal side: grandfather on the mother’s side

If the name of any of these relatives appears on the voter list, the applicant can use it to link with proof of age and address. There is no guidance for establishing connections outside of immediate family members.
